Bookkeeping Basics

A withdrawal of funds from your business by you as the owner. It’s not a business expense and won’t affect your Profit & Loss.

It’s not ideal. If it happens, I’ll properly categorize them, so your reports stay clean.

No problem! Just flag it or leave it uncategorized, I’ll review it during monthly reconciliation and make sure it lands in the right place.

I aim to be as independent as possible, but I may reach out monthly to clarify transactions or request missing info. This also includes dual authentication codes when needed. The more you keep things separated and labeled, the smoother it all goes!

Monthly reports are typically delivered between the 5th–10th of the following month. If a custom report is needed sooner, please notify me at least 7 days in advance so I can prioritize accordingly.

Photos, scans, or a shared folder (Google Drive, Dropbox, etc.) work great. You can also email them directly to amber@ad4bal.com and I’ll store them securely for your records.

A check-in is a short, structured meeting between us. I’ll go over what I’ve reviewed in your books, clarify any questions, and flag anything that needs your attention.
It can be a detailed email, a Teams or Zoom meeting, a conference call, or as quick and casual as you’d like. The goal is to keep everything aligned and on track while giving you peace of mind that the work is getting done right. Think of it as your business’s mini financial wellness visit. -
Most clients hear from me once or twice a month. But you’ll mostly hear from me if I need to clarify transactions or request documents. Your preferences matter. If everything is running smoothly, check-ins may be less frequent. You're welcome to reach out to me any time with questions or concerns.
Security/Permissions

Your data security is a top priority. I use encrypted cloud storage and password-protected systems for all client files. Access is limited, and sensitive information is never shared without your explicit consent.

Yes, I always operate behind a secure VPN and up-to-date antivirus/firewall software to safeguard all financial records and login credentials, on both mobile and computer devices.

Passwords are stored in a secure, encrypted password manager. I will never share your credentials or access them outside of approved bookkeeping activities.

Nope, I don’t touch client funds directly. That means I won’t fill out checks or make withdrawals. However, I’m happy to help in a limited capacity, like dropping off ready-to-go payments in the mail as a courtesy or setting up ACH/EFTs for Accounts Payable when authorized and approved.

Nope, I don’t file taxes currently, but I do make life easier for your tax preparer. I’ll ensure your financials are clean, accurate, and ready to hand over to your CPA or EA.

I provide financial budgeting, organization, and reporting, not investment or legal advice. For big-picture planning or specific tax guidance, I recommend working with a licensed financial advisor, EA, CPA, or tax attorney.

Paying someone “under the table” (aka off the books and under the radar) might sound like a quick fix, but it’s a risky move that can lead to fines, audits, or worse. And let’s be real: I’m not risking jail time, a hefty fine, or my business license because someone doesn’t want to file a 1099.
Here’s the real deal: I handle your books, which means I’m directly connected to your finances, your banking, your money, and your most personal and confidential information. Admin Boundaries

In short, no… but I can recommend what to look for in a great VA (virtual assistant) or admin. While I’m happy to keep your books squeaky clean, my role doesn’t include administrative or personal assistant tasks. That helps keep my focus on financial clarity and smart money moves. Think of me as your Bookkeeping Quarterback, not your entire team. I’m here to make sure your employees, invoices, and taxes are taken care of... but I don’t run your business. I will, however, make sure the light bill gets paid.

I do, but that’s not for front desk work. While I don’t handle personal assistant tasks, I do offer structured, professional admin support when it’s scoped and scheduled intentionally. Think of it as “admin with intention”: focused, purposeful tasks that help your back-office run better. Basically, it’s everything an in-house admin might do, minus the constant interruption.
Catch-Up & Cleanup

Absolutely! I offer catch-up and cleanup services for clients who’ve fallen behind on their books. We’ll assess the scope together and create a game plan.
This falls outside of a monthly bookkeeping scope and is billed either hourly ($50/hour) or at a fixed project rate, depending on the scale. Because this service typically is more intricate and has more moving parts and to discourage abuse, this is billed at a higher rate.
